A booking is one wedding job, from the moment a couple enquires until you wrap delivery. Every other Wendor feature - packages, templates, calendars, invoices, payments, messages - exists to move a booking through its lifecycle.

The four stages

Bookings live in one of four lifecycle stages, each shown as a tab on the Bookings page:

  • Requests - incoming enquiries you haven't responded to yet.
  • Active - bookings you've accepted and are working on. The default tab.
  • Completed - bookings you've finished delivering.
  • Declined / Archived - bookings you turned down or shelved.

A booking moves between stages automatically as you act on it: a request you accept moves to Active; an active booking you mark complete moves to Completed; a request you reject (or an active booking you archive) moves to Declined / Archived.

The statuses you'll see

A booking carries one or more statuses that show what's already happened. The most recent two appear as coloured badges next to the booking. You'll see these:

  • Booking Created - a request has come in but you haven't responded.
  • Booking Sent - the request was sent to you by the couple.
  • Booking Confirmed - you accepted the request.
  • Booking Rejected - you rejected the request.
  • Contract Sent - you sent the contract to the couple.
  • Contract Collected - you marked the contract as signed outside Wendor.
  • Contract Signed - the couple signed via the Wendor signing link.
  • Deposit Invoice Sent - you sent the deposit invoice.
  • Deposit Invoice Collected - you marked the deposit as paid outside Wendor.
  • Final Invoice Sent - you sent the final invoice.
  • Final Invoice Collected - you marked the final as paid outside Wendor.
  • Adhoc Invoice Sent - you sent a one-off (adhoc) invoice.
  • Adhoc Invoice Collected - you marked an adhoc invoice as paid outside Wendor.
  • Questionnaire Sent - you sent a questionnaire to the couple.
  • Questionnaire Collected - the couple responded (or you marked it collected).
  • Booking Completed - you marked the booking finished after the wedding date.

Vocabulary

  • Request - an enquiry sitting in the Requests tab, awaiting your accept or reject.
  • Booking - once accepted, a request becomes a booking and moves to Active.
  • Archive - putting an active booking on ice (you can unarchive later).
  • Reject - declining a request (no unarchive - declined requests stay where they are).

How bookings connect to the rest of Wendor

A booking ties together almost every other Wendor feature:

  • Packages - every booking has a package and optional add-ons.
  • Calendar - confirmed bookings appear as events; they block the date for further requests.
  • Templates - contracts, emails, questionnaires, and workflows you've built get applied to bookings.
  • Messages - a chat with the couple is created automatically when a booking is confirmed.
  • Transaction History - every invoice and payment link generated from a booking shows up there.
