Complete, Archive, Reject, or Unarchive a Booking

The four state-changing actions on a booking, what each one does, and the rules that decide which ones are available.

Bookings

Four actions move a booking out of its Active or Requests state: Complete, Archive, Reject, and Unarchive. Each one is available in a different tab, has different rules, and triggers different side effects. This article covers all four together so you know which one to reach for.

Complete a booking

Use Complete after the wedding is done and your work is finished.

Where to find it

  • The booking must be in the Active tab and the wedding date must have passed.
  • Open the row's menu and pick Complete Booking.

What happens

  • The booking gets the Booking Completed status.
  • It moves from Active to the Completed tab.
  • The booking becomes read-only - you can still view and add notes, but you can't edit or take further actions.

Archive a booking

Use Archive to shelve an Active booking you don't want in your live list. Unlike rejecting, you can bring an archived booking back.

Where to find it

  • The booking must be in the Active tab.
  • Open the row's menu and pick Archive.

Rules

Archive is blocked unless both of these are true:

  • The deposit due date is in the future.
  • No money has been collected yet (amount paid is zero).

If either is false, Wendor blocks the archive with an error explaining why. The reasoning: once money has changed hands or the deposit has come due, you can't quietly shelve the booking.

What happens

  • The booking gets an archivedAt timestamp.
  • It moves from Active to Declined / Archived.
  • The couple receives a notification (a booking archived email).
  • The booking becomes read-only until you unarchive it.
  • The wedding date becomes free again in your Calendar for new requests.

Reject a booking request

Use Reject on incoming enquiries you don't want.

Where to find it

  • The booking must be in the Requests tab.
  • Open the row's menu and pick Reject, or open the request and click Reject at the top.

What happens

  • The booking gets the Booking Rejected status and a rejectedAt timestamp.
  • It moves from Requests to Declined / Archived.
  • The couple is notified.
  • The booking becomes read-only and cannot be unarchived. Rejection is permanent.

Unarchive a booking

Use Unarchive to bring an archived booking back to Active.

Where to find it

  • The booking must be archived (not rejected) - switch to the Declined / Archived tab.
  • Open the row's menu and pick Unarchive.

  • The booking's archivedAt is cleared.
  • It moves back from Declined / Archived to Active.
  • The couple receives a notification (a booking unarchived email).
  • The booking is editable again.
  • The wedding date becomes unavailable for new requests in your Calendar.
