Track Payments

See every payment link generated for a booking, mark payments paid manually, regenerate expired links, or void links you no longer need.

Bookings > Payment

Open a booking and switch to the Payment tab. You'll see every payment link the booking has ever generated, the amount, the date, the type (Deposit / Final / Adhoc), and the current status. This is where you reconcile what's been paid and chase what hasn't.

Before you start

  • A linked Fire account in Billing Settings - Wendor uses Fire to generate payment links and receive notifications when the couple pays.
  • At least one invoice sent from this booking so a payment link exists (or you'll be marking payments manually). See Send and Manage Invoices.

What you'll see

The Payment tab shows a table of every payment link for this booking. Columns:

  • S.No. - sequence number.
  • Payment Link Generated Date - when Wendor created the link.
  • Payment Confirmation Date - when the couple paid (blank if unpaid).
  • Amount - the amount on this link.
  • Type - Deposit, Final, or Adhoc.
  • Status - current status of the link (see below).

Payment link statuses

A payment link moves through these statuses:

  • Payment Link Created - link generated, not yet sent to the couple in an email.
  • Sent - emailed with the invoice.
  • Pending - link is live, awaiting the couple.
  • Awaiting Authorisation - the couple has started paying; their bank is reviewing.
  • Authorised - the bank approved but the funds haven't fully settled.
  • Paid - settled. Money is in your linked Fire account.
  • Failed - payment attempt failed (e.g. card declined).
  • Expired - link window passed without payment.
  • Archived - the link was voided.

When a payment is confirmed by Fire, Wendor updates the link to Paid automatically and writes the Payment Confirmation Date.

Mark a payment paid manually

If the couple paid outside Wendor (bank transfer, cash, separate Fire account, etc.), record it manually so your records and invoices match.

  1. Open the relevant invoice from the Documents tab.
  2. Open the invoice's Actions menu and choose Mark as Collected.

Confirming updates the invoice and adds the matching booking status.

This updates the invoice and adds the matching booking status (e.g. Deposit Invoice Collected). No new payment link is generated.

Regenerate an expired or failed link

If a link has Expired or Failed, the couple can no longer pay through it. Generate a fresh one:

  1. Open the invoice from the Documents tab.
  2. Click Regenerate Payment Link.
  3. A new link is created with the same amount and emailed to the couple again.

The old link's status moves to Archived.

Void a payment link

If you no longer want the couple to use an outstanding link (e.g. you decided to cancel the invoice, or they paid you another way), open the invoice and choose Void Payment Link. The link's status moves to Archived. You can regenerate later if needed.

Wendor doesn't process refunds inside the app. If you need to refund a payment:
