Apply and Use a Workflow on a Booking
Apply a workflow template to a booking, customise its sections, tasks, and automations, and let scheduled actions fire on the right wedding dates.
Bookings > Workflow
Open a booking and switch to the Workflow tab. This is the booking's board - columns of tasks you need to tick off and automations Wendor will fire on your behalf. Apply a workflow template once and the whole plan is copied onto this booking; from there, edit it as much as you need without affecting the original template or any other booking.
Before you start
- A workflow template in your library. Build one in Build a Workflow Template.
- For automations that send emails, the matching email template - see Create and Manage Email Templates.
Apply a workflow template
- Open the booking → Workflow tab.

- Click Choose from Template.

- Pick a workflow template from the list and confirm.

Wendor replaces any existing workflow on the booking with a fresh copy of the chosen template - sections, tasks, and automations all come across.
Sections, tasks, automations
The board lays out sections as columns from left to right. Each section holds a stack of tasks and automations.
- Tasks - manual steps you tick off by hand. Wendor doesn't act on them.
- Automations - scheduled actions Wendor performs for you, like sending the deposit invoice 7 days after booking confirmation.
You can have up to 6 sections per booking workflow.
Edit the workflow on this booking
The board is fully editable - changes only affect this booking, never the template.
- Rename a section - click the section title.
- Add a section - click Add Section (disabled at 6).
- Add a task - click + Add Task inside the section. Pick a type (Todo / Appointment / Extra Service) and name.
- Add an automation - click + Add Automation and configure it (covered in Add Tasks and Automations).
- Drag any task or automation between sections to reorder.
- Delete any item from its own menu.


When dates change - schedules recompute
Automations are scheduled relative to dates on the booking - Wedding Date, Booking Confirmation Date, Deposit Due Date, Balance Due Date, or Deposit Paid. If you change one of those dates (e.g. you move the wedding date in Booking Details), every automation that points at it recomputes.
For example: if you have an automation "Send final invoice 14 days before Wedding Date" and you push the wedding date back by a week, the automation's fire date moves with it automatically.

What automations can do
Every automation runs one of these actions:
- Send Questionnaire
- Send Email
- Send Reminder Email (Contract or Invoice reminder)
- Send Contract
- Send Deposit Invoice
- Send Final Invoice
- Send Adhoc Invoice

Tick off a task
For manual tasks, click the checkbox on the task card to mark it done. Tasks stay on the board so you can see what's been completed - they don't disappear.
